There are several modes for Session collaboration that the host can choose from when sharing a Session. First, the Session modes can be used to control the participants' access to the Session, i.e. access can be restricted or withdrawn. In addition, it can be determined what type of Session it is, whether moderated or for free editing.
Please note: Only the host can share a Session and assign or change a Session mode. The participants will be informed accordingly about changes, if they are currently in the Session.

Recommended number of participants
We designed cannyboard for collaborative meetings in small groups. Whether meeting hybridly or not, we know that meetings deliver the best results when the group is focused.
We recommend the following numbers of participants for meetings with cannyboard:
- On site: up to 20 participants
- Hybrid: up to 15 participants
Host: Overview of the Session modes
You can choose between four different Session modes, depending on what you need:
- Private
The Session is not shared. Only you – the host – have access to the Session. When you set your Session to private, you've removed editing rights from anyone else. Use this mode to work alone on a Session, for example for preparation and follow-up. - Moderated Session (default setting)
You guide the participants through the Session to collaborate in real-time. The phase change is synchronized. Everyone sees the same content. The participants can send Notes to contribute to the Session.
Please note: Participation with this Session mode is only possible as soon as and only as long as you are in the Session. - Free Edit
You and all participants have unlimited access to the Session and can edit it at any time. All functions can be used independently of one another. - Documentation
You and all participants can view the Session, but neither edit nor contribute to it. This allows you to make the Session available as a summary of the results after working together, without the possibility of changing the content afterward.
Please note: Video calls aren’t possible in documentation mode.
Meeting participants: Overview of the Session modes
As a meeting participant, the host can assign you three different roles:
- Participant
You follow the host through the session. Click on the main menu to send Notes to contribute content to the Session. - Editor
You have unlimited access to the Session and can edit it at any time. You can use any function we offer. - Viewer
The session is read-only. You only view the Session content, but you can move through the session freely.
Guests: Editing rights without a cannyboard account
When you are participating without a cannyboard account, you are a guest. You have limited access to and can only view the session.
As a guest, you can join a video call and share your screen via screen sharing. You can only use the Hand Tool and the Laser Pointer but not the Selection Tool on your personal device.
Depending on the session mode the host has set, guests can also do the following:
- Moderated Session or Free Edit
Guests can view the session and contribute Notes. - Documentation
Guests can only view the session.
Change the Session mode
In the Session Library
- Log in to your cannyboard account and go to your Session Library.
- Click on the three-dot menu of the session you want to share. Click on "Share Session" to be able to manage the Session mode.
- Select the desired Session mode from the drop-down list.
- Click on "Save". The Session mode is now changed for everyone with the link. Participants will be notified of the change, if they are currently in the session.
Please note: The participation link is persistent and remains unchanged even if the Session mode is changed. People who already have this link can still use it.
In Desktop Editing
- Log in to your cannyboard account and go to your session library.
- Open the desired session in desktop editing on your laptop / PC.
- Click the session share icon in the top toolbar.
- A window opens that shows the number of current participants and the Session mode. Click on "Manage" to manage the Session mode.
- Select the desired Session mode from the drop-down list and click "Save".
Please note: The participation link is persistent and remains unchanged even if the Session mode is changed. People who already have this link can still use it.
Once the appropriate Session mode has been selected, the link can be shared with all participants and you are ready to collaborate.
